Family Portal

Stay Connected

As a client of Niagara Children’s Centre, you will have access to the Family Portal. Supported by our electronic health record system called AlayaCare, the Family Portal gives you secure, real-time access to your child’s appointment details, reports, and care information—at home, at work, or on the go.

Families must review the Privacy Policy and information around electronic communication in our Family Guide before getting Portal access.

New clients to the Children’s Centre will be given access to the Family Portal at the time of their Intake Call.

If you are an existing client, you will need to ask for a secure access code from your therapist to gain access to the Family Portal.

Getting Started & Access

Who can use the Family Portal?

Only parents or guardians with Decision Making Responsibility (DMR) or Full Right of Access to Information (RAI) can have access to the portal. DMR and RAI describe the legal rights a parent or guardian has when it comes to making important decisions for their child and viewing their child’s health information. If you have DMR or RAI, it simply means you are one of the caregivers the Centre is allowed to share appointment details, reports, and other confidential information with. If you’re unsure whether you have these rights, your therapist can help explain what applies to your family and answer any questions.

Do all families have to use the Family Portal?

The Family Portal is the main way the Centre communicates with families. It is used for appointment reminders, documents, and forms. The portal is safe and secure. It lets you see your child’s appointments, reports, and care information. Because of this, most families will use the portal. If you have trouble using or accessing the portal, please talk to your therapist. 

Can I use the portal after my child is discharged from the Centre?

No. When your child’s file is closed with the Centre, you will not be able to use the portal for that child. If you need forms or documents later, email: healthrecords@niagarachildrenscentre.com

Is the portal available in other languages?

The portal language can be switched to French by clicking the “Français” icon on the left sidebar when using the website view. In the app, you can find this option by tapping the hamburger menu (three horizontal lines). You can also choose to receive email notifications in either English or French by updating your preferences under the Email Alerts tab. 

What do I do if I no longer want Family Portal Access?

The family portal is the main way the Centre will communicate with families. If you are receiving too many email alerts you can adjust your email notifications in the ‘Email Alerts’ section of the portal. If you have additional barriers to using the Family Portal, please discuss with your therapist. 

Accounts & Login Help

I forgot my password. How do I reset it?

Go to the Family Portal login page. Click the “Forgot password?” link.

Type in the email you use to log in to the portal. This should be the same email the Centre uses to contact you. You will get an email with steps to reset your password.

If I have more than one child receiving services at the Centre, do I need more than one portal?

No. You only need one portal account, even if you have more than one child receiving services. Existing Centre families will need to request portal access for each child individually.

Parents, Guardians & Family Access

Can more than one parent or guardian use the portal?

Yes. If more than one parent or guardian has Decision Making Responsibility (DMR) or Full Right of Access to Information (RAI), they can each ask for access. Each person must have their own email on file with the Centre.

What if custody changes?

The parent/guardian is responsible for keeping all contact information up to date with the Centre. This includes names, address, phone number(s), email address, as well as custody/decision-making responsibility/right of access to information status for any minors. If you are concerned about your privacy from other individuals who have access to your child’s information and/or Family Portal access (e.g., another guardian), please discuss this with your therapist.

Appointments & Reminders

When will I get my appointment reminder email?

You will get an email reminder about 24 hours before your appointment.

What information is in the appointment reminder email?

The email will show:
  • Date and Time of the appointment
  • Who the appointment is for (client’s name)
  • Your therapist’s name
  • The location of the appointment (Main site, Welland, Grimsby, Fort Erie, home visit, virtual, etc.) 

Can I cancel or reschedule an appointment in the portal?

No. To cancel an appointment, you must contact your therapist or call reception at 905-688-3550. Rescheduling an appointment must be done directly with your therapist.

Communication & Features


Can I message my child’s therapist in the portal?

No. There is no chat feature in the portal.

But you can find your therapist’s phone number and email in the portal. 

How do I find my therapists contact information?

Log in to the family portal. Therapists can be found under your Care Team (‘care’ icon at the bottom of the screen if using the app). Click on the therapist you would like to contact to see their email and phone number. You can also call reception at 905-688-3550 to obtain a therapist’s contact information. 

What alerts can I get?

All alerts are turned on by default. 

You will get alerts for:
  • Upcoming visits
  • Files ready for you to review
  • Forms you need to fill out
  • Updates on forms you submitted

You can turn alerts off in the Settings section of the portal.

Can I sign up for Centre events in the portal?

No. To sign up for events and activities, use the event calendar on the Centre’s website
